This Policy explains processing when you browse taxi-merchtem.be, submit or manage a booking, contact Hallo Taxi, pay for a journey or otherwise use the service.
What personal data may we process?
Depending on how you use the service, we may process:
- name, email address and telephone number;
- pickup and destination addresses, date and time, passenger count, return information and booking reference;
- flight number, luggage or child-seat requirements and relevant booking notes;
- payment status, amount, payment-method type, transaction reference and invoice/receipt data;
- communications with dispatch, customer service or the driver where necessary;
- technical and security data such as IP address, browser/device information, timestamps and relevant error or security logs;
- cookie or analytics data where such technologies are used and valid consent is required.
Please do not enter sensitive or unnecessary personal information in free-text fields.
Purposes and legal bases
We process personal data to receive and perform bookings, allocate a driver or vehicle, communicate about the journey, process and reconcile payments, issue and retain invoices, answer enquiries and complaints, protect the website and booking environment and comply with legal obligations.
Depending on the purpose, processing is based on performance of a contract or requested pre-contractual steps, a legal obligation, legitimate interests or consent where consent is legally required, for example for certain non-essential cookies or direct marketing.
When data is required
Certain information is necessary to assess, confirm and perform a booking, including reachable contact details and journey information. If required information is not provided, Hallo Taxi may be unable to confirm or provide the requested service.
Who may receive personal data?
Data is shared only where necessary. Recipients may include dispatch personnel, the assigned driver, payment providers, email or communications providers, hosting and technical providers, accounting or legal advisers and competent public authorities where disclosure is required by law or a valid request.
Providers processing personal data on behalf of Hallo Taxi must be subject to appropriate data-protection obligations.
Payment information
Where card or Bancontact payments are processed by an external payment provider, card credentials are entered in that provider’s secure environment. Hallo Taxi processes or retains only the payment information necessary for booking, reconciliation, invoice/receipt and legal administration, such as payment status, amount and transaction reference, to the extent this matches the live payment integration.
Transfers outside the EEA
Some technical, communications or payment providers may process data from countries outside the European Economic Area. Where data is transferred to a country without an applicable adequacy decision, another valid transfer mechanism must be used, such as appropriate contractual safeguards together with any required supplementary measures.
Retention periods
Personal data is not kept longer than necessary for its purpose, taking account of statutory retention duties and the need to establish, exercise or defend legal claims.
Invoices and accounting records are retained for the applicable statutory period. Booking records connected to accounting, payment or a potential dispute may be retained accordingly. Uncompleted enquiries, customer-service communications and technical logs are deleted or anonymised when no longer reasonably needed, unless an incident or legal obligation requires longer retention.
Cookies and similar technologies
The website may use strictly necessary cookies or similar technologies for security, booking functions, session management or other services explicitly requested by the user.

Children
The booking service is intended for persons capable of entering into the relevant booking arrangement. Where transport is booked for a minor, the adult making the booking is responsible for providing the information needed to perform the journey safely and lawfully, including any required child-seat information.
Automated decision-making
Unless expressly stated in the booking process, Hallo Taxi does not make decisions producing legal or similarly significant effects solely by automated processing. Automated calculations may nevertheless support pricing, availability checks, security or administration.
Changes to this Policy
This Privacy Policy may be updated when the website, booking system, providers or legal requirements change. The current version and last-updated date will be published on this page. Material changes will be communicated in an appropriate manner where required by law.
